1. Introduction

Welcome to CloseBuddy (“we,” “our,” or “us”), operated by GV Tech. We are committed to protecting your personal information and your right to privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our AI Sales Training platform at closebuddy.app.

This policy is specifically designed to meet the requirements of Google's API Services User Data Policy for applications that access Google user data. If you connect your Google Calendar, please read Sections 3, 4, and 5 carefully.

2. Information We Collect

2.1 Account Information

When you register, we collect your name, email address, and payment information (processed by Stripe — we do not store card details).

2.2 Google User Data

If you choose to connect your Google Calendar, we request the following OAuth scopes from Google:

• https://www.googleapis.com/auth/calendar.events.readonly — Read-only access to your upcoming Google Calendar events, used solely to display your scheduled meetings inside CloseBuddy and allow you to launch a meeting bot with one click.
• https://www.googleapis.com/auth/userinfo.email — Your Google email address, used solely to identify and link your calendar connection to your CloseBuddy account.

Important: The Google Calendar OAuth authorization is handled directly by Recall.ai, our calendar integration partner. Recall.ai holds your Google OAuth tokens and reads your calendar events on our behalf. CloseBuddy receives only the processed list of upcoming meetings from Recall.ai — we do not store raw Google Calendar data on our servers.

2.3 Training Session Data

During AI role-play training sessions, we process real-time audio via LiveKit and generate call transcripts. These transcripts are stored in your account and used to provide AI coaching, performance reviews, and CRM summaries.

2.4 Usage Data

We collect analytics about how you interact with CloseBuddy (pages visited, features used, session durations) via Google Analytics. This data is aggregated and does not include your Google Calendar or email data.

3. How We Use Google User Data

CloseBuddy's use of Google user data is strictly limited to the following purposes, in accordance with Google's API Services User Data Policy:

• Google Calendar events— displayed inside the Meetings dashboard so you can see upcoming calls and launch a Shadow Bot with one click. Calendar data is fetched live from Recall.ai and is not stored on CloseBuddy's servers.
• Google email address — used to identify your calendar connection within Recall.ai and to link it to your CloseBuddy account. It is not used for marketing.

We do not use Google user data for advertising, profiling, selling, or any purpose beyond directly providing the calendar and meeting-bot features described above.

CloseBuddy's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

4. Sharing and Disclosure of Google User Data

We share Google user data only as follows:

• Recall.ai — Our calendar integration sub-processor. Recall.ai receives and holds your Google Calendar OAuth tokens to read your calendar events on our behalf. Their privacy practices are described at recall.ai/privacy.

We do not sell, rent, or transfer your Google user data to any other third party. We do not share Google user data with advertisers, data brokers, or any party for purposes unrelated to providing the CloseBuddy service.

5. Data Retention and Deletion

Requesting deletion: To delete your data or your account, email support@closebuddy.app. We will process your request within 30 days. To revoke Google Calendar access specifically, disconnect your calendar from the Meetings dashboard — this immediately revokes Recall.ai's access to your Google account.

6. Third-Party Services

CloseBuddy uses the following third-party services that may process your data:

• Recall.ai — Calendar integration and meeting bot infrastructure. Processes Google Calendar OAuth tokens and meeting recordings.
• Google Gemini (Google AI) — AI language model used to generate real-time coaching tips and post-call performance reviews. Call transcripts are sent to Gemini for analysis. Google's AI data practices apply.
• Google Analytics — Website usage analytics. Collects anonymised usage data via cookies. Does not receive your Google Calendar data or call transcripts.
• LiveKit — Real-time audio infrastructure for training sessions and meeting bot audio streams.
• Stripe — Payment processing. We do not store your card details.
• Supabase — Database and authentication. Stores your account profile, call transcripts, and CRM data.

7. Data Security

We implement industry-standard security measures including TLS encryption in transit, AES-256 encryption at rest for sensitive prospect and transcript data, and strict server-side authentication for all API endpoints. Access to user data is limited to authenticated users and authorised service accounts. No method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.

8. Your Rights

Depending on your jurisdiction, you may have the right to:

• Access the personal data we hold about you.
• Correct inaccurate data.
• Request deletion of your data.
• Revoke Google Calendar access at any time via the Meetings dashboard.
• Object to or restrict certain processing.

9. Changes to This Policy

We will update this Privacy Policy when we change how we use Google user data or any other personal information. Material changes will be communicated by updating the “Last updated” date at the top of this page and, where required, by notifying you by email. Continued use of CloseBuddy after changes take effect constitutes acceptance of the updated policy.
